Cancellation, Refund, Booking Policy & Acceptance of Terms

At Elements of Zen, every class, treatment, retreat, workshop, event, and training programme is created with care, dedication, professionalism, and intention. Significant preparation, planning, venue costs, administration, resources, and energy are invested into providing a safe, meaningful, and transformative experience for every participant.

In the spirit of mutual respect and commitment, please read the following policy carefully before making a booking.

General Booking Policy

All bookings, deposits, payments, and instalments are considered final and non-refundable.

By making a booking, you acknowledge that you have read, understood, and agreed to this Cancellation, Refund & Booking Policy in full.

Yoga Classes & Group Sessions

Your place is reserved exclusively for you once booked.

• All class bookings are non-refundable.

• A minimum of 24 hours’ notice is required if you wish to request a reschedule.

• One reschedule may be considered under genuine and reasonable circumstances and remains entirely at the discretion of Elements of Zen.

• No refunds will be issued for missed classes, late cancellations, or non-attendance.

• Failure to attend a booked class does not qualify for a refund, credit, or transfer.

Private Yoga Sessions

Private sessions require dedicated preparation and scheduling.

• All private session payments are non-refundable.

• A minimum of 24 hours’ notice is required for any rescheduling request.

• One reschedule may be permitted under exceptional and reasonable circumstances.

• Additional cancellations or rescheduling requests may result in the forfeiture of the session fee.

• No-shows and cancellations made within 24 hours are non-refundable.

Reiki, Massage, Facials, Waxing & Holistic Treatments

When you book a treatment, that time is reserved exclusively for you.

• All treatment bookings are non-refundable.

• A minimum of 24 hours’ notice is required for rescheduling requests.

• One reschedule may be granted under exceptional and reasonable circumstances.

• Further changes may result in the loss of the appointment and payment.

• No-shows, missed appointments, or cancellations made within 24 hours are non-refundable.

Workshops, Events & Special Programmes

• All bookings are non-refundable.

• Places are reserved exclusively for registered participants.

• Transfers, credits, refunds, or rescheduling are not guaranteed.

• Requests may only be considered in exceptional circumstances and remain entirely at the discretion of Elements of Zen.

Retreats

Retreat spaces are limited and require extensive planning, venue commitments, accommodation arrangements, and financial investment.

Deposits

• All deposits are strictly non-refundable and non-transferable.

• Deposits cannot be applied to future retreats, classes, trainings, treatments, workshops, events, or any other service.

Retreat Payments

• All retreat payments are non-refundable.

• Failure to attend, arriving late, or leaving early does not qualify for a refund, credit, or transfer.

• Participants are strongly encouraged to obtain travel and cancellation insurance.

Exceptional Circumstances

In rare and genuine circumstances, a request for a transfer may be considered. Any transfer remains entirely at the discretion of Elements of Zen and is not guaranteed.

Yoga Teacher Training Programmes

Teacher Training programmes require substantial preparation, administration, venue commitments, course materials, mentoring, and dedicated support.

Deposits

• All deposits are strictly non-refundable and non-transferable.

Tuition Fees

• All tuition fees, instalments, and payments are non-refundable.

• Once enrolled, your place is reserved exclusively for you and removed from public availability.

• Withdrawal from the programme does not release participants from agreed payment obligations.

• Failure to complete the training does not qualify for a refund, credit, transfer, or partial refund.

Special Consideration

In exceptional circumstances, a participant may request to defer their place. Approval remains entirely at the discretion of Elements of Zen and may be subject to administrative requirements.

Cancellation by Elements of Zen

Elements of Zen reserves the right to amend schedules, teachers, venues, retreat itineraries, programme content, or event arrangements where necessary.

Should a class, treatment, workshop, retreat, event, or training programme be cancelled by Elements of Zen and an alternative arrangement cannot be provided, an appropriate refund or transfer option will be offered.

Elements of Zen shall not be responsible for any additional expenses incurred, including but not limited to travel costs, accommodation, insurance, loss of earnings, visa fees, transportation costs, or other associated expenses.

Our Commitment

Elements of Zen operates from a place of integrity, compassion, mindfulness, and respect. While we understand that unexpected situations can arise, we kindly ask all participants to honour their commitment in the same way that we honour ours.

These policies are designed not as a punishment, but as a way of ensuring fairness, sustainability, and respect for the time, energy, preparation, and resources dedicated to supporting every student and client.
